Chairing Guidelines

Guidelines to pre-conference workshop organizers

Please see the conference program for the schedule and description of the workshop and contact the presenters and moderators before the conference to align their contributions well. Please arrive at the hall at least 15 minutes before the session starts and ask all presenters and moderators to do the same. Presenters should bring their presentations (MS pptx only) to the room (please note that a speakers’ room is not available on Sunday) and install them on the notebook connected to the projector.

  1. Please stick to the schedule and do not allow presenters to run over time.
  2. It is up to you, as workshop organizer, to make sure your presenters and moderators know in advance how much time they have to speak and how much time you wish to allocate for Q&A and discussion.
  3. Larger halls feature microphones in aisles on stands. Smaller halls feature a single microphone e that can be passed around.
  4. AV staff will be on hand to assist with technical queries.

Guidelines for Plenary Session chairs

Please see the conference program for the schedule and description of the session and contact the plenary keynote speakers before the conference to align their contributions well.

  1. Please arrive at the hall at least 15 minutes before the session starts and ask before the conference all your three plenary keynote speakers to do the same.
  2. Please stick to the schedule and do not allow presenters to run over time. With the exception of the Opening & Closing Plenaries and the Steneck-Mayer lecture, each keynote speaker has been allocated 30 minutes in total (maximally 25 minutes for presentation and minimally 5 minutes for Q & A).
  3. Plenary halls feature microphones in aisles on stands. Please note that everyone should speak on the microphone, because the virtual attendees will not be able to hear them otherwise. Ask participants to be brief and to ask one clear question without a lengthy introduction.
  4. During the session, you will have a screen in front of you, where written questions sent from the virtual platform or the mobile app will be displayed. Please note that depending on the network speed of the viewer, a question may arrive with a delay of up to 30 seconds. It will be up to you to choose which questions (if any) you would like to address to the speaker.
  5. AV staff will be on hand to assist with technical queries.

Guidelines for Chairs of Oral Presentation Sessions (Parallel sessions)

Please see the conference program for the schedule of the session and read the abstracts in the abstract book which you will receive soon in PDF form.

  1. Please arrive at the hall at least 15 minutes before the session starts.
  2. Please stick to the schedule and do not allow presenters to run over time. Each presentation has been allocated 15 minutes in total (maximally 10 minutes for presentation and minimally 5 minutes for Q & A). If you need to interrupt a virtual presenters, simply speak on your microphone.
  3. Larger halls feature microphones in aisles on stands. Smaller halls feature a single microphone that can be passed around. Please note that everyone should speak on the microphone even in smaller halls, because the virtual attendees will not be able to hear them otherwise. Ask participants to be brief and to ask one clear question without a lengthy introduction.
  4. During the session, all chairs will have a screen in front of them, where written questions sent from the virtual platform or the mobile app will be displayed. Please note that depending on the network speed of the viewer, a question may arrive with a delay of up to 30 seconds.   1. Please arrive at the hall at least 15 minutes before the session starts and ask before the conference all presenters and moderators to do the same.
  2. Please stick to the schedule and do not allow presenters to run over time.
  3. It is up to you as symposium coordinator or Chair to make sure your presenters know in advance how much time they have for their presentation and how much time you wish to allocate for Q&A and discussion.
  4. Larger halls feature microphones in aisles on stands. Smaller halls feature a single microphone that can be passed around. Please note that everyone should speak on the microphone even in smaller halls, because the virtual attendees will not be able to hear them otherwise.
